Just got a fax (presumably from overseas).
Here is the abstract:
“ I live few minutes drive to your store but I am in Spain at the moment… I need to buy a laptop for myself but the ones sold here are with Spanish keyboard…… I decided to order it from Dell……but they can not send their product to international destination………Dell rep. told me to order the item and have it sent to an address in the US and then have it shipped to me in Spain…… Can you allow me to use your store address as a ship to address… then assist me in shipping it to me in Spain once payment is complete?… You can send your response to my email address.”
I think after Nigerian scam now there is a Spanish scam.

Good news! Verifone has provided the solution finally!!! We are working on this and will implement the fix in version 7.8. Version 7.8 is currently in beta testing and we will work this into the beta test so that you will all have it soon!

When processing credit cards via POS thru PaywarePC, when and if the transaction finally goes thru, POS prints the two copies of the credit card receipt - which is good.

What is NOT good, is that I have to press Alt+Tab a variable number of times to locate the (PaywarePC?) CC confirmation dialogue box in order to close it. There there is about a 50-50 chance when I close the confirmation window, that I am on the screen that allows me to FINISH the transaction and print the customer receipts. If I am not on the FINISH screen, I have to Alt+Tab to find it, so i can print the customer receipts.

This is a VERY UGLY process just to simply print the customers receipt. I am hoping there is a workaround or a way to eliminate altogether the need to acknowledge the cc confirmation message AFTER the CC receipts have already printed. TURNING OFF POS CC processing is NOT an option for me.

I have to agree, Bob. I shouldn't have to train my staff for this workaround which also takes longer with the customer.

Please make this fix a high priority! The ONLY thing I did was upgrade Postalmate to the latest version - I did not change PC Charge or anything else.

I get this message from time to time also. It is casued when my master workstation has not completed it's connection to the internet. I usually wait a few minutes, PM will retry the connection and eventually starts up on it's own.

PAYware PC users:

You are required to change your password in PAYware PC every 90 days. Please remember when you are changing your password in the PAYware PC program, you will also need to change this in the POS program.

In the POS, go to Tools > Options > Register Settings and choose the Credit Card tab. Here you can update your password to match the one you created in PAYware PC. This will need to be done on any station that you use the credit card interface with.

(PC Charge users, version 5.8 and 5.9 also require you to change your password every 90 days. However, you do not need to make any changes in the POS program.)

Hello Sandi,

No news as of yet. We are working with Verifone to track it down to be resolved, but as of today I have nothing new to report. The interface can be turned off if this is causing you an issue, and you may swipe credit cards in PC Charge separately.

This is actually a limitation of the Express label layout file. Express mail will only allow 3 lines for an address. So, this will cause the company and first, last name to show up on the same line.

This type of error is generally caused by a firewall blocking the firebird program on your main computer. Support will give you a call to help you with this.

PostalMate assumes your boxholders live in the US at least part of the year. For foreign residents you will need to complete a 1583 manually. You can get blank forms by Googling "USPS Form PS1583".

Be very careful that the ID that you accept on foreign residents is acceptable (the acceptable forms of ID are listed on the 1583). No credit cards, membership cards, birth certificates or social security type cards for anyone. Addresses on ID must match address listed on 1583. At least one ID must have a picture.

You can do the following to correct the account balance and close it out.

1. Apply a payment to the account.
2. Close the account.
3. Void the transaction in Register history before you close the register day.

That will take care of it :)

My bad for trying to do things from memory! You can't put a negative # in the discount screen at the end of the shipping transaction. We are adding the difference between what PM thinks the return shipping retail will be and the actual retail, in POS as a "soft" (dept/$) sale.

Yes, you would make the adjustment on the final screen before you hit "Finish". There is a red minus sign in the lower left corner, which you would normally use to give a customer a discount. Click it and put in a negative number (the difference between what PM thinks the retail shipping price is and the price you are actually going to charge); since you want to add to the PM retail, you will be "minusing" a negative number--which will increase the shipping retail.

I want to publicly thank Don and his team. Don personally called me and walked me through editing a piece of the registry for Microsoft Word that fixed the problem. This was a Microsoft Word problem and not a PMTools problem, but nevertheless Don found a way to fix the underlying issue.

Duane, my comment about running out of support hours was my bad attempt at a joke. I don't want to be a pain in the neck to any company's support team by calling/emailing them too much.

Now that you guys have taken care of this for me I'm going to have to find something else to ask you about :)

It appears it's only happening on some systems and not all, and always with Word and not OpenOffice.

No one runs out of support hours for the month.

Hi Michelle! You can generate the label to send back to the customer, however, the pricing will not be correct, as Colette noed, PM thinks you are sending it from your store to your customer (probably only a mile or two distance.)

For documents only: We explain to the customer that the price of the return envelope is the same as the outgoing envelope, plus the addition of the residential delivery fee; we adjust the delivery price for the return envelope and add the res del fee manually. Be sure you get the right label on the return envelope (yes, we've made that mistake!o.O )

For packages: We explain that due to possible variances in weight for the return package, that it must be delivered back to us. At which point any variance in shipping cost is accounted for and paid by or refunded to the customer. Again, the price charged for the return label is the same as the outbound label, manually edited.

We only do return labels with FedEx, as I am certain I receive my tier discounts for shipments originating from other locations through this carrier.

I wanted to see if there were any other store owners using the CRT (Computer Rental Tool) and having problems with the print counter? The counter is working properly for us when printing out ONE SET of single or multi-page documents, however it does not count correctly when the customer selects anything more than "1" copy on the print dialogue screen. For example, a 5-page document where the customer selects to print "3" copies will only count as 5 pages instead of 15 pages. We have a lot of customers who print out multiple copies of their resumes and this causes a problem for us.

I was originally told by PM Tools that the problem was either Windows XP or that I was sharing the printer through another computer. Since I am not sharing any printers I figured the problem was Windows XP so I upgraded the rental computer to Windows 7. The problem is still the same. I've also tried two different printers just to make sure there wasn't an issue with the print driver. I think I have used up all of my support hours with PMTools for the month so I wanted to see if anyone else is having this problem and if they have found a solution.

SUMMARY: Have POS place CC number (***####) on sales receipt. This would facilitate the generation of a single cc receipt for store copy/customer signature.

I really like the feature of having the CC receipts print out of POS. Right now, I am printing two receipts. I would like to change that to a single customer receipt - BUT I feel that I can only do that if POS can somehow indicate on the customers receipt some CC identifying information like the last 4 digits of the CC.

This issue was brought to our attention on Friday. We are working with Verifone on the resolution right now. I will post again when I know more. For now, if you are concerned about the manual swiped entries, you may want to disable the credit card interface.

I do know of a few SUCCESSFUL mail and parcel centers who only use the carrier supplied software. At a recent trade show I asked him how he updated the fuel surcharges, something PostalMate does automatuically. He replied "oh well, you got me there, we only do that a few times a year.". So he loses money because he is not automated. Probably more than the $75 a month PM would have cost him.

Are you using ALL the PM features, like StorePak, printing price tags, e-mail notification, integration with Endicia, and inventory control? Have you seriously looked at your rates? Is your % markup for a 2 LB UPS Next Day Air the same percent as a 125 LB UPS Next Day Air? With apologies to PM developers, the Global Rate Setting utility is the lazy's mans way to set rates. Get in their and really tweak your rates. Your average parcel weight is probably under 15 lbs, so why not make that a higher margin than the other weights? Did you mark up all the carrier ancilliary services like additional handling, COD, proof of delivery, etc.?

PostalMate does so much for you and especially your staff, like telling you what customs forms to apply as an example.

Here are a few thoughts on how to value the benefit that PostalMate delivers to you.

1. Compare the cost of PostalMate to other expenses like rent, marketing, electricity and labor. What do you spend on these other items per month and compare the benefit that you receive to the $75 that you pay for PostalMate.

2. Assess the impact to your business if you no longer used PostalMate. Would you have greater expenses due to more errors? Would you have higher labor costs? Would service levels to your customers degrade?

3. Make sure that you are taking advantage of PostalMate to generate more revenues and maximize your margins. For example, if you increased your margin by ten cents per package, and you shipped 10,000 packages per year, then you would more than pay for PostalMate. PostalMate gives you the ability to set shipping and other rates to increase profitability. You can save on USPS charges by using the Endicia interface.

There are just a few ideas.

I don't think that is it. I have gone 2 days since the last booting error. It is not happening every day, therefore I can't believe that the issue is in the setup of my hardware. The system logs don't show any power interruptions on the days/nights it happens.

Jon,

Getting your money's worth out of your software is a very subjective, but a very necessary item in this complex business. There are three main vendors and all have similar products. For me PM providers a very stable and highly informative package of services that allows me to make more money in my business. You can't do easy price comparisons if you use the "free" carrier software, you can't have consistent packing and labor pricing if you don't use a packing program (especially if you have employees), you can't track your profits and margins as easily when using paper and pencil. If you any type of revenue volume you will be spending more time on the overview of your business then on servicing customers.

I personally don't look at the cost of the software as much as I do the benefit of having it vs. not having it.

The costs involved may appear high but in many other industries the costs of this type of software is much greater.

I've been running Postal Mate since I opened my store about 1.5 years ago. I use it to ship UPS and USPS, as well as its PMB database software. While I have a few gripes with it, it seems to do a good job.

Right now though, I just can't rationalize the cost. Over the time I've been using it, the monthly price has risen 35% and I don't really know what I'm getting for the extra money.

I know many people are happy with postal mate, I just am wondering what makes it worth nearly $1000 a year?

I've been using a ZP 500 Plus that FedEx gave me (at N/C) for more than a year now. I ship FedEx (Express & Ground), UPS and USPS. No DHL. It prints all the 4"x6" lables I need it to. I did have to get some help from FedEx tech support to get it going at first.... but no other issues.

Hi Caroline! I think you will be very happy once you have upgraded to the latest version of WS. I have not experienced any issues running PM after a WS update (I have installed 4 of them).
The one question to ask would be, can you go from whatever WS version you are on now, directly to WS 12.0, or will you have to install each of the interim WS updates?

Another installation tip, I am running Windows 7 on my master, and XP on the aux workstation. I was able to install WS 12.0 on the XP station from the disk UPS sent me. To install WS on the Windows 7 workstation, I had to download WS 12.0 directly from the UPS website--the 7 version was not available on the disk. That may have changed, with the disks UPS is currently sending out.

Hi Larry,

Actually that is not a situation unique to Brazil. In general, the carriers are required by most countries to pre-pay the duties and taxes for all shipments the moment the parcels cross the border. Many countries will then credit the carrier if the item does not remain in the country (is refused by receiver). However, which countries credit the carriers and under what circumstances is not information generally available to the public.

Both FedEx and DHL have stated that if you complete a manual waybill (do NOT use ramp ready labels through the carrier software) they will bill the receiver first and your customer as a last resort and they will exempt your store from liability. You must complete the forms in a specific manner to get this.

PostalMate will soon have an integrated International DHL label that will allow for this same waiver of liability to apply should DHL continue this option.

UPS at this time does not offer any waivers from liability in duties and taxes. I am glad you were given a break from UPS but I have heard of stores that were not so lucky and had to pay the duties and taxes.

There is no way to turn off specific countries from PostalMate. You can of course turn off an entire service, but I don't think that is what you are looking for.

I will take a wild guess and suggest as many as a third to half of countries we ship to do not credit or give back duties and taxes for unwanted shipments. This is based on my discussions with the carriers when I was writing the International Shipping Certification course for our industry.

I have a question for the great minds in retail shipping.Last year we shipped a circuit board valued at $600 to Brazil. Brazil customs slapped a $6000.00 duty and tax on the package. The airbill had receiver to pay all duites and taxes. The receiver refused to pay and my customer also refused to pay.UPS billed me saying that Brazillian law requires someone to pay the charges once the package is submitted to customs. Can I block Postalmate from shipping packages to Brazil?

Well they wanted me to because they said they were out $6000 cause Brazil customs make them pay no matter what. I kind of find that hard to beleive, but because this was our first encounter UPS agreed to pick up the tab. It would have put a big hurt on me if they forced that one. I don't know how I can ship anything to Brazil with something like this hanging over my head

Commercial Invoice Tool

The country of Benin, and a rapidly growing list of others will not accept shipments tendered with a Commercial / Pro Forma Invoice.

The reps we spoke to at DHL, FedEx and UPS agree that a Commercial Invoice will be sufficient 100% of the time, where a Commercial / Pro Forma Invoice could possibly cause a problem (delay) for your shipment.

We are working on a fix for this and will release a Hot Fix for PMTools soon.

In the meantime, during your routine pre-shipment carrier phone call, SPECIFICALLY VERIFY a Pro Forma Invoice is acceptable for the destination country.

In the event a Pro Forma Invoice is not accepted, please default back to carrier provided Commercial Invoice for that shipment to prevent delivery difficulty.

I am having to move my store and I also am going into a 800 sq ft area. One of the things that I am considering for my mail boxes ( which are also front loads) is to mount them back to back (you would probably need at least 4) into a constructed cube that has a classy finish, trimmed out nice. You can get 1/4 inch oak that you could use as a skin on the sides and add a very nice trim that would really dress it up. One idea I has was to place them on casters allowing me to move them as I develope the store.

Hey Roger! Well you've definitely got the photo posting down--nice pic!

On the mailbox unit, I understand what you're saying about not being able to move it to the rear due to space limitations, maybe simply switching the tv and mailboxes so that the mailbox is up against the racking would make it feel more permanent. It is helpful to have a few extra locks/keys, so that you can just switch them out when you are missing keys, lock malfunctions, etc. Once you are able to add more mailboxes, it will give you credibility in the category. Do you know if your local PO has mailboxes available--that would give you a hint about the demand.

You're off to a good start; when I first purchased my shop, I thought it would be great to get all of the physical changes done quickly up front. Well, then there's that cash flow thing! Turns out, the customers kind of like that things keep changing over time--so not getting everything exactly the way I wanted it at the beginning wasn't so bad. Also, it's good to work in the environment for a while, then you'll see what really does/doesn't work for you.

Geez Louise and Holy Cr*p!o.O Did you have to pay it?

Do you have a signed international shipping contract between the shipper and your shop? If so, that should be an enforceable contract, which would allow you to recoup your damages from the shipper. Someone with more knowledge of PM would be best to address the systemic block of Brazil in PM.

In the meantime, you could have a storytelling kind of meeting with the team, and surely the dollar amount would make an impression on them enough to remember not to ship to Brazil in the future.

I think there is a bigger issue though, as there are similar stories on the boards about Mexico and several other countries. So if you choose to do international shipping, what's the best way to mitigate the risk, short of cutting off a country each time an issue arises. UPS is the carrier I am least comfortable with for international shipping, precisely for the potential of customs/duties charges being charged back to my account, regardless of the protocol followed in filling out international waybills. Would limiting your international shipping to carriers other than UPS be another way to accomplish your goal of not being charged duties/taxes?

First time in the morning would indicate to me something is changing in the night. That one clue would lead me to something along the lines of power time out. Check your power options for hard drive, network cards, etc. If they have any options of a timed shutdown they could be hibernating in the night and when you attempt to start in the morning the device has not yet wakened to have access. I hope that makes sense.

Nasir, Thank you for our advice. We do packing on the small table and yes I agree it should be raised higher because we do bend over to pack. However, it was mostly intended to have the large drop-off packages on there. We are located near Lackland Air Force Base and we receive alot of their shipments.

I am getting an error when booting PM for the first time every morning. I get a win.exe error and have to shut down PM. I then reboot PM and it works fine. During the RS-EXPO Colette showed me how to set the e-updates as the possible cause but it is still happening. Any ideas to make it go away?

I agree with Nasir that your mailbox installation feels "temporary"--people want to feel like you're "in" the business for the long haul, and that their mail is secure. I would not pile the pelaspan on top of the mailboxes, it feels disrespectful of the mailboxes---sounds weird, but...Also, it looks like one of the mailboxes is broken (door ajar in the upper left) and the base color is not consistent. A little paint would be an easy fix, and if you need replacement parts for the mailboxes give me a call and I can fax you the replacement parts sheet from the company I work with. 916-484-7363

You have taken up a lot of your visible advertising space behind the counter with carrier provided packaging. If you feel it is driving the express/air portions of your shipping, then that may be working for you. If you are not shipping a disproportionate amount via express services, you may want to consider using the space differently. I do not display any carrier packaging, and sell boxes/padded envelopes at every opportunity. The carrier provided packaging is there if someone requests it, or if we figure that it is the best option for a customer.

It appears to be a flat-screen next to your mailboxes, by having it on that stand, it feels a little dated. I can't tell what's running on it; is there an opportunity to move the flat screen behind the counter, so the customer will be standing there, facing it, as you are processing their shipment? Then you could run a powerpoint presentation on a loop, and your customers would be exposed to all of your services.

Do you offer faxing, passport photos, laminating, copying, notary public services?

Photos look good. I had an idea recently that I'd like to share in case it amy apply to you. My store is in a center with a suite number and many times my mailbox customers don't include it in their address. This causes their mail to go to another suite at this address. If the PMB's box number were started at a higher number than any of the suites at this address we would have less mis-deliveries. Example, the hightest suite number at this address is 230, if my mailbox numbers started at 300, there would be no problem with the address for the mailboxes.

Just an idea I thought I'd share. Now to figure out how to change my mailbox numbers when I have 1/2 of them rented????

Hi Vic! You can also just cancel the package and start over. the customer's info will still be on the customer screen you pull up, click the box at the bottom left to view the "ship tos" for this customer only, and you're pretty much back to where you were.B-) B-)

Hello,

I'm fairly new at this and have a simple question.

I get frustrated as to how difficult it is to switch from a "Parcel" to a "Carrier Supplied Packaging" screen. For example, when I mistakenly use the parcel screen to get a price and then realize I'm using a FedEx Envelope and should have started in the "Carrier Supplied Packaging" screen. Is there an easier way to get there rather than hitting the "back" key several times and starting all over again?

"Exact pricing" is a misnomer with the new UPS pricing structure. Not only do we have to deal with the 8oz bump, the UPS Police are at it again too!

Shipped one bank check in a #10 envelope using the small "Carrier Supplied Packaging" UPS LETTER envelope, total weight of 1.8 oz.

Today my bill showed a correction of an additional $7.27 whsl charge because UPS moved it from LETTER to PARCEL and applied a Dim weight of 12 x 9 x 1 or .06 LB - GO FIGURE?

Hi Manoli! I agree with you that PM is only going to be able to show information to the level of detail that they receive from the carrier. It surely seems that the FedEx would know what zips/routes are assigned to a Home vs Ground driver, as the packages have to be sorted accordingly at the hub. I was under the impression that that level of detail is what was included in onn-line commitments.8)

Hi Jan,

Since I was the one asking the question in the other forum I will reply here too. I have many times sent Fedex Home Delivery where the estimated delivery day shows as Saturday in postalmate, but because the destination is handled by Fedex Ground (usually rural areas) it is delivered on Monday instead. I do not blame postalmate for this because not even the Fedex reps know if a zip code has Saturday service. I'm sure postalmate is given the same information as the Fedex website (the number of business days to the destination, rather than a specific delivery date). I was hoping someone knew of a way to get this information from Fedex BEFORE the shipment is processed/picked up. I know Fedex has access to this information somewhere because when the package is picked up and scanned into their tracking system the correct delivery date shows up whether it's Saturday or Monday.

What is the best way to do DHL Waybills?

I know we have to fill out a waybill seperately from PM, just as we do with FedEx and UPS international shipments. But, I remember seeing somewhere that DHL had a way of doing this on-line so you could still get a printed waybill, rather than one that is handwritten.

Where do we go on DHL-USA.com to find this form? Is it just the regular "Prepare a Shipment" link? And, if so, do we need to do anything special in PM or on DHL-USA.com to avoid being double billed?

Does PostalMate automatically show a Saturday delivery for all shipments designated as residential, even if Saturday delivery is not available for that location, e.g., rural area zip code? :? I thought having online commitments enabled gave us zip code specific commitments for a service.

I am shipping single DVDs internationally, the weight is 4.8 ozs. DHL said it is OK to put the DVD in a letter envelope (it's in a protective plastic case, hard but not brittle plastic, more like tupperware), and to use 1 lb on the waybill for weight.

I think choosing the carrier letter envelope is giving us incorrect on-screen pricing, as PM is not assuming the 1 lb. pricing since we selected "carrier envelope" and the item weighs under 5 oz.

What packaging should we select on the opening PM shipping screen to at least get in the right ballpark with pricing? I am going to be doing a lot of these, so I'd like to get the correct process down early.

Hi Eric! Had to search a bit to find where I'd filed this, but Bud McEntee gets the credit for this one, I think you're just missing the "Save Current Layout" step:

In Dazzle, go to Postage Options. On the
Delivery Conf tab, select Yes for Delivery Conf and Yes for Concatenated
barcode (not the wide barcode). Close the Postage Options, and if your
barcode is off-center, re-center it. Then go to File and Open a Layout
(doesn't matter which one), and when it asks if you want to Save the current
layout before leaving, click Yes.

I have a problem with the labels when I use dazzle. I adjust it back and do a reprint but it does not save it. Please help, I don't know if I missed something on the last update.

Hi Jan,

The summary emails are only sent out if there are new posts to the group. I am not sure what the exact timing is, but the last post to the forum was on 07-31.. so I would suppose the last summary email you received on 08-01 would have included that post.

In any case, the summary emails are working fine. Thanks for paying attention :)

I have built a Facebook page for Carmichael Box Shop (feel free to stop by and "Like" us!), and I added a message on our shipping/delivery notifications stating, "LIKE" Carmichael Box Shop on Facebook!.

It has been a month, and I have driven zero traffic to the Facebook page.

Are there any tips for better using the message box on email notifications? Can/should I change the message to a clickable, live link to the Facebook page?o.O In the end, I am trying to develop the Facebook page as a marketing tool---but I'm not off to a good start here!

We've never done the interface before now, but with the latest update we have had no issues. It's worked perfectly. We're on windows 7 and the latest version of pccharge.

Anybody else having problems with PCC and PM POS?
In PCC 5.9.1, PM 7.7.4.2, if someone tries to make a transaction at zero amount, it will simply not settle anything after that until program is re-started.
This has left us high and dry with several hundred dollars not collected.
MSN is working on forcing thru some transactions.
Has PM fixed the interface problem with latest update?
